Well hello again!
One of the fun projects I’ve been working on at my new job is getting a budget conscious version of video conferencing working. Don’t get me wrong, I LOVE Cisco’s telepresence line, but the lowest price unit is the Webex Room Kit Mini, and that, on a good day, is nearly $2600!
There is no doubt that non-verbal communication is extremely important! Various sources will say that non-verbal communication accounts for anywhere from 57% to 93% of all communication! So you can understand why when I showed up at my new job, and there was NO video conferencing happen, I wanted that to change!
After a TON of research, I narrowed my results down to either the Yamaha CS-700SP for around $1000, or the Polycom Trio 8800 with visual+ and eagle eye mini camera for around $1700, both of which can register to your CUCM as third-party SIP devices. While the Yamaha looked enticing, the fact that the Polycom has a table top conference phone with a 5″ touch screen took it over the top, and made it worth the additional $700 or so. Unfortunately, the Yamaha does not include any sort of control device, so in order to control it, you have to either download the app on your smart phone and connect to it, or install an Android tablet in the room and hope it doesn’t walk away.
What is really nice with this set up is that there is also a full sized PTZ camera that you can replace the eagle eye mini with. Of course, it costs an additional $800 or so, so we are just going to start basic.
- Polycom Trio 8800 Conference Phone
- Visual+ (unit that connects via the LAN to provide video collaboration and content sharing)
- Eagle Eye Mini USB Camera (Connects to the visual+. Optionally you can upgrade to the larger Eagle Eye IV USB full PTZ camera)
Here is the CDW link where I purchased my units:
- SIP Phones will not register without a configured DN, unlike SCCP phones. So if your phone refuses to register, the first thing you should verify is that you remembered to configure a DN.
- There are multiple parts to this configuration. Be sure to go in order and read all of the notes.
- Plug in the polycom trio 8800 via PoE.
- The visual+ can be mounted behind the display or in a cabinet and requires HDMI output, USB input for the camera, and a PoE connection to your network.
- There is no direct connection between the phone and the visual+. The connection is made over the network.
- Go to Settings > Advanced > password is 456 > Administration Settings > Web Server Configuration
- Enable the slider for Web Server
- Set Web Config Mode to HTTP/HTTPS.
- Press the home icon to return to the home screen. You will be asked if you want to save the config. Press Save Config. The phone will restart.
- In the upper left corner, press on the 3 bar menu icon to view the IP address of the device. Enter the IP address into your web browser.
- Ensure your physical connections are all complete and the phone is booted up. Both the trio 8800 and the visual+ must be connected to the network.
- On the device touch screen, go to Settings > Advanced > password is 456 > Networked Devices
- Under “Available Devices” you will see the device listed and it says “Not Connected”. Select that line. To confirm this is the correct device, look at the TV that the visual+ is connected to and match the step 3 name.
- A new screen will come up with the IP address and model of the visual+, and a pair button. Press the Pair button.
- Tap the Complete button.
- Press the home icon to return to the main menu.
- Wait until the camera controls icon appears on the page before continuing with the software upgrade. Also watch the TV display for the visual+ to finish its software upgrade. Do NOT move forward until this is finished.
Note: Do NOT move forward until the visual+ has completed its initial software upgrade (see step 7 of pair with the visual+ instructions)
- On the device web page, log in using the admin password 456.
- Navigate to Utilities > Software Upgrade
- Select “Polycom Hosted Server”
- Click on the Check for Updates button.
- Select the version of software you want to install and then click the install button. For CUCM to work, you need a minimum of 5.7.2. My recommendation, tried and tested, is 220.127.116.1121.
- The device will reboot a few times and will upgrade.
- You can complete the steps in CUCM, but do not configure anything on the device or in the device web server until the software upgrade is complete and the camera controls icon appears on the device. This may take a long time.
Configure CUCM SIP Profile
- Open CUCM and navigate to Device > Device Settings > SIP Profile.
- Click the find button to reveal all available SIP Profiles.
- Click on the Standard SIP Profile.
- Click on the Copy button.
- Rename the profile with an addition to differentiate it as the Polycom Trio 8800 profile.
- Check the box for Use Fully Qualified Domain Name in SIP Requests
- Scroll down and check the box for Allow Presentation Sharing using BFCP
- Check the box for Allow multiple codecs in answer SDP
Configure CUCM Device
- Navigate to Device > Phone
- Press Add New
- Select Phone Type Third-party AS-SIP Endpoint.
- Configure the following settings on the device (You will have to come back later to add the owner user ID and Digest User):
- Configure the following settings on Line 1 of the device (obviously, select a different DN, keep the description similar with formatted with a different ID):
- Navigate to User Management > End User
- Press Add New
- Configure the following settings:
Set the User ID to the DN of the device, then configure the Digest Credentials password. Remember this for later when we are configuring in the polycom device.
- Click Save
- Scroll down to Device Information and click on the Device Association button.
- Find your device and select it.
- Press Save Selected/Changes, and then press the Go button after Related Links in the upper right corner to go back to the End User page.
- Click Save
- Navigate to Device > Phone
- Find your device and go back into the device configuration page.
- Assign the Owner field to the end user you just created.
- Under Protocol Specific Information, assign the end user you just created to the digest user field.
- Press Save
Note: Do NOT complete these steps if the device has not completed its software upgrade. You could brick the device if you save certain settings which require reboots while the software is upgrading!!!!
- Go to the device web server page (see previous instructions to enable if not already done).
- Navigate to Simple Setup
- Under the Base Profile tab, change the base profile to Generic and then press save. Wait for the phone to reboot before moving forward.
- Navigate to Settings > Lines
- Plug in the following settings (far left column is the drop down options):

- Press Save.
- The phone will reboot.
- Go to the device web server and navigate to Preferences > Date & Time.
- Under the Time Synchronization drop down, set the SNTP Server to pool.ntp.org.
- Set the Time Zone ID to your specific time zone.
- Press save and confirm.
- For security reasons, let’s go ahead and disable Bluetooth. Go to the device web server and navigate to Preferences > Additional Preferences. You don’t have to do this, you can keep in enabled if you want, but it’s probably better to disable it if this is in an enterprise setting.
- Under the Bluetooth drop down, find Bluetooth Feature and select Disable.
- Click save and confirm and you will see the Bluetooth icon on the screen disappear.
- Since we have no need for LAN Out PoE (PoE from the unused Ethernet port on the device), we can disable this to get rid of the warning indicators. Go to the device web server and navigate to Settings > Power Management.
- Under the Power over Ethernet drop down, set Power Sourcing Equipment to Disable.
- We don’t want to leave the admin password as the default. Go to the device web server and navigate to Settings > Change Password.
- The default Admin password is 456. You will want to pick something more secure, but not so secure that you forget it.
- The default User password is 123. Your call if you want to change that or not.
- If a device password is ever messed up or lost, you will need to do a factory reset on the device.
- Unplug the ethernet from the device.
- Plug the Ethernet back into the device.
- When the polycom logo appears, press on all four corners of the device touch screen.
- When the mute lights begin to flash, you can let go.
- The device will factory reset.
- To share content we need to install the polycom content app onto the in room PC. There is also a realpresence desktop application that could be used in conjunction with the microUSB port on the side of the device, but assuming we have an in-room PC, this is the easiest solution.
- Install and open the polycom content app on the PC.
- You can ignore the yellow notification at the top. Select the “Find Other Rooms…” option.
- Enter the IP address of the device, and select Connect.
- You will have options to share your entire desktop, or to just share specific windows.
- When you’re done sharing, you can press the red Stop button in the green bar at the top of the screen. You could also press Stop Content on the touch screen of the phone.
